Runway Flight Simulators Ltd – Terms & Conditions

These Terms and Conditions apply to all customers using the services of Runway Flight Simulators Ltd (“Runway”, “we”, “us”, or “our”).
Please read them carefully before purchasing, redeeming, or taking part in any Flight Experience, Course, or related activity.
By purchasing or using any of our services, you agree to these Terms and Conditions.

1. Purchasing a Flight Experience Voucher

​

1.1. Flight Experience Vouchers are valid for a minimum 12 calendar months from the date of purchase – the actual expiry date being clearly shown on the voucher.
1.2. Vouchers are non-refundable after 30 days, non-exchangeable for cash, and not redeemable for other services.
1.3. Vouchers may be transferred between individuals and may be upgraded to a higher-value package when booking.
1.4. If you purchased your voucher online or by phone, you are entitled to a statutory 14-day cooling-off period during which you may cancel for a full refund. Runway extends this period to 30 days from the date of purchase, provided the experience has not yet been booked or used.

2. Electronic Vouchers

​

2.1. All vouchers are issued electronically.
2.2. You can show your voucher on a phone or printed copy upon arrival.
2.3. If you are unable to do so, please contact us before your session so we can verify your booking.

3. Voucher Expiry and Extensions

​

3.1. Vouchers must be booked before the expiry date shown on the voucher (minimum 12 months from purchase).
3.2. Extensions of up to six months may be purchased for £25.00, unless the delay is caused by us.
3.3. Once expired, vouchers have no cash value and cannot be reactivated.

4. Participation Requirements

​

4.1. Flight Experiences involve realistic simulator motion and may not be suitable for everyone.
4.2. All participants must:

  • Be aged 10 years or older (under-18s must be supervised by an adult);

  • Be in good health and free from heart, back, neck or motion-related conditions;

  • Not be under the influence of alcohol or drugs;

  • Wear comfortable clothing and flat shoes; and

  • Follow all staff instructions during their visit.

4.3. We reserve the right to refuse participation if we believe it may endanger you, our staff, other customers or our equipment.

5. Prices and Special Offers

​

5.1. Prices shown on our website are the most current and correct.
5.2. Prices in printed materials may differ depending on publication date.
5.3. Special offers and promotions have expiry dates and cannot be combined or exchanged for cash.

​

 

6. Guests and Spectators

​

6.1. Each participant may bring up to two guests. Seating for guests varies by simulator.
6.2. Children under 18 must be supervised by a non-flying adult.
6.3. Guests must follow staff instructions and remain in designated areas.

​

 

7. Private Hire

​

7.1. Customers authorised for private hire must comply with all safety and booking procedures.
7.2. Private hire rates apply to weekday and evening sessions only; weekend sessions are charged at standard rates.

8. Cancellations, Late Arrivals, and Rescheduling

​

8.1. Once your Flight Experience has been  booked, at least 48 hours’ notice is required to cancel or reschedule.
8.2. Missed bookings or changes requested within 48 hours will incur a £25.00 rebooking fee.
8.3. Late arrivals may have reduced session time if other bookings follow.

9. Simulator Availability

​

9.1. If we cannot deliver your experience due to technical or external issues (e.g. power failure, simulator malfunction, extreme weather), we will offer to reschedule at a mutually convenient time.
9.2. Once your session has started, if a technical fault significantly reduces your experience, you will be offered additional time or an alternative date.
9.3. Our total liability in such cases will not exceed the price paid for your experience.

10. Equipment and Recording

​

10.1. We maintain all equipment to a high standard but cannot guarantee uninterrupted availability of optional video or photo recording services.
10.2. While the failure or unavailability of recording equipment can be disappointing, it does not normally entitle the customer to a refund or reschedule of the experience. In such cases, Runway will refund the recording fee or offer an equivalent upgrade at its discretion.

11. Inclusivity

​

11.1. We welcome participants with disabilities. Please contact us before purchasing to discuss accessibility and any support you may need.
11.2. We’ll do our best to make reasonable adjustments to ensure participation wherever possible.

11.3. Our instructors are not trained or authorised to provide manual handling assistance. Customers who require help entering or exiting the simulators must be accompanied by a suitable adult or carer who can provide that support.

11.4 For safety and equipment reasons, each simulator has a maximum individual occupant weight limit of ranging between 130kg and 160kg. This limit is in place to protect both customers and equipment. If you are unsure whether this may affect you, please contact us in advance of your visit.

12. Flight Experience Instructors

​

12.1. All instructors are trained and approved by Runway. Some may not hold pilot licences.
12.2. You must follow all instructions given by your instructor for your own safety and the protection of the simulator.
12.3. Instructors may terminate a session if they believe safety is compromised.

​

 

13. Feedback and Complaints

​

13.1. We welcome all feedback. Please raise any issues during your visit so we can resolve them immediately.
13.2. If not resolved, contact bookings@runwaysim.com with your voucher or booking reference.
13.3. We may use anonymised feedback or reviews in our marketing and social media.

​

 

14. Personal Belongings and Car Park

​

14.1. Runway Flight Simulators Ltd is not responsible for loss or damage to personal items or vehicles on site, except where caused by our negligence.

​

 

15. Data Protection

​

15.1. We process personal information in line with our Privacy Policy, available on our website.
15.2. We may contact you about your booking or for feedback, but we won’t share your details with third parties for marketing purposes without consent.

​

 

16. Liability

​

16.1. Nothing in these terms limits or excludes our liability for death or personal injury caused by negligence, or for fraud.
16.2. Except for those cases, our total liability to you for any claim connected with your experience will not exceed the amount paid for that experience.
16.3. We are not liable for indirect or consequential losses, such as travel or accommodation costs.

17. Military Cadet Course

​

17.1. Our Cadet Course is a structured flight simulation training programme.
17.2. The course includes 35 hours of simulator time, comprising:

  • 8 × 3-hour Vulcan sessions

  • 3 × 3-hour Spitfire sessions

  • 1 × 2-hour induction session.
    17.3. Participants may defer up to four sessions to alternative times during the programme.
    17.4. Missed sessions beyond those four may be completed for an additional fee at £45 per hour.
    17.5. Sessions run every two weeks on weekday evenings (6:30–9:30pm) unless otherwise agreed.
    17.6. Runway reserves the right to modify session content, instructors, or dates if operational needs require.
    17.7. Course fees must be paid in full and in advance of the first session.
    17.8. Refunds are not available after the course begins, except in exceptional circumstances at Runway’s discretion.
    17.9. Participants must follow instructor guidance at all times for safety and proper use of simulator equipment.

18. Governing Law

​

These Terms and Conditions are governed by the law of England and Wales, and any disputes will be handled by the courts of England and Wales.

19. Entire Agreement

​

These Terms and Conditions, together with any specific course or experience details provided at the time of booking, form the entire agreement between you and Runway Flight Simulators Ltd.
